Position: Operation Support Assistant

Short Description
We have a new full-time opportunity to shape and lead our program portfolio. We need you to drive quality and think outside the box, bringing fresh thinking to the sector. We need someone who can provide administrational, financial, and general affairs support on projects and business initiatives to support our growing social enterprise.
The role
Operations and play an important representational role. We believe that the operation system needs to be fit for purpose and able to support effective and accountable operations across all of our programs. Assistant work effectively within company teams. They coordinate efforts to ensure the operations are running well and efficiently, as well as being able to seek the input and advice as required from Coodinators, Directors and Executives.
Key Responsibilities
Reporting to the Director of Operations, the key responsibilities for this role will be as follows:
1. Finance
- Responsible for supporting financial documentation and reporting, including the preparation of transaction vouchers and supporting documents for company and project needs. Maintains effective coordination and communication with internal and external stakeholders regarding financial processes, and provides regular progress reports to the Operation Support Coordinator and Director of Operations
2. Administration
- Responsible for managing internal and external administrative tasks, including the preparation and documentation of official company documents and correspondence. Supports project and procurement administration, facilitates meetings and events, and ensures all processes comply with company regulations. Coordinates effectively with internal and external stakeholders, and provides regular progress reports to the Operation Support Coordinator and Director of Operations.
3. General Affairs
- Responsible for managing and documenting all company assets, including fixed and leased assets, as well as handling procurement and inventory of goods and operational facilities. Oversees correspondence management, supports product production processes, maintains warehouse stock records, coordinates product shipments, and ensures effective communication with relevant teams for asset-related approvals and updates.
What we are looking for
We are looking for a dynamic team player with demonstrated experience in practitioner-based research to support our portfolio of work looking at local leadership and power dynamics within the aid sector. The role will require an understanding of disaster risk management and humanitarian operations in Indonesia and an interest in understanding people and power dynamics within the sector. Our ideal future team member will have demonstrated:
- Understanding of the humanitarian and development operations
- Ability to communicate with clarity and passion
- Ability to work flexibly
- Ability to work collaboratively within the team and with our partners
- Ability to work effectively and independently, in a fast-paced environment, and to manage multiple concurrent working
- Experience in working agencies in Indonesia.
Key Criteria
- Ability to work independently and as a team player who demonstrates leadership and is able to deliver support for staff and associates
- At least 3 years of experience supporting operations of humanitarian or development related programme
- Works with trustworthiness and integrity and has a clear commitment to PREDIKT’s core values and humanitarian principles
- High level of all aspects of coordination experience, including coordinating multi-stakeholders programming
- Experience in working with a multi-disciplinary team under difficult circumstances
- Well planned and organized even within a fluid working environment and has a capacity for initiative and decision making with competent analytical and problem solving skills
- Moderate level of expertise and experience in representation and negotiation with governments and donors (will be an asset)
- Strong understanding of the humanitarian emergency operating context, including Sphere, the humanitarian system, donors, security, and program management (will be an asset)
- Proven experience of working in partnership with national & local NGOs and UN agencies
- Fluency in English, written and spoken
- Demonstrates awareness and sensitivity to gender and diversity
